This Privacy Policy explains how Learn-Nova (Pty) Ltd, operating as Alfred, collects, uses, stores, shares, and protects personal information when you use Alfred.

Alfred is an AI-powered learning platform available through alfred-x.xyz, app.alfred-x.xyz, and related Alfred services.

By using Alfred, you acknowledge the data practices described in this Privacy Policy. Where consent is required by applicable law, we will rely on consent only where the necessary consent has been given.

1. Who we are

Learn-Nova (Pty) Ltd is a company registered in South Africa and is responsible for operating Alfred. Depending on the law that applies to you, we may be described as a responsible party, data controller, or similar term.

Our Information Officer oversees privacy and data-protection matters relating to Alfred.

2. Scope of this Privacy Policy

This Privacy Policy applies when you:

  • visit the Alfred website;
  • use Alfred as a guest;
  • create or use an Alfred account;
  • sign in using email, password, or a supported third-party authentication service;
  • upload or provide learning materials;
  • use Alfred AI features;
  • create Cards or Sessions;
  • use quizzes, flashcards, summaries, mastery tracking, or other learning features;
  • provide answers or other learning responses;
  • submit feedback, ratings, bug reports, feature requests, or screenshots;
  • use a free trial or paid subscription;
  • communicate with Alfred; or
  • otherwise interact with our services.

This Privacy Policy does not govern independent websites or services operated by third parties that you may access through external links.

3. Personal information we collect

Account and identity information

When you create or use an account, we may collect:

  • your name or display name;
  • your email address;
  • authentication information;
  • profile information, including a profile picture if you provide one;
  • account identifiers;
  • authentication-provider identifiers;
  • your account status;
  • your subscription or plan tier;
  • free-trial status and eligibility;
  • account creation and activity dates; and
  • preferences associated with your account.

Passwords are handled through our authentication infrastructure. We do not need to view your password in plain text.

If you sign in through a third-party authentication provider, we may receive information that provider makes available to us, such as your name, email address, profile information, and provider-specific account identifier.

Guest and anonymous usage

You may be able to access parts of Alfred without first creating a registered account. When you use Guest mode, we may create an anonymous identifier or anonymous authentication session so that Alfred can provide Guest-mode functionality, maintain your session, apply Guest-mode limits, protect the Platform against abuse, and distinguish Guest usage from registered accounts and free trials.

Using Guest mode does not automatically start an Alfred free trial. Guest activity may still be associated with technical, device, network, security, or anti-abuse information described in this policy.

Learning materials and User Content

When you provide learning materials to Alfred, we collect and process the content you choose to provide. Depending on the features available to your account, this may include:

  • PDF documents;
  • word-processing documents;
  • presentation files;
  • pasted text and notes;
  • links or URLs;
  • images;
  • screenshots;
  • audio;
  • video;
  • lecture or study materials;
  • textbook extracts;
  • diagrams; and
  • other supported educational content.

We may extract text, images, metadata, structure, concepts, embeddings, summaries, or other information from these materials so Alfred can provide learning features.

Your materials may contain information about other people. You are responsible for ensuring that you have the right to provide that information to Alfred. You should avoid uploading confidential, highly sensitive, or third-party personal information unless it is reasonably necessary and you have permission to do so.

AI conversations and interaction data

When you interact with Alfred's AI features, we may collect and store:

  • prompts and questions you submit;
  • your chat messages;
  • AI-generated responses;
  • conversation history;
  • relevant Session or Card context;
  • relevant excerpts from your learning materials;
  • learner notes;
  • selected topics or concepts;
  • previous interactions required to maintain context; and
  • information generated as part of providing the AI service.

Relevant portions of this information may be transmitted to third-party AI service providers where necessary to produce an AI-powered response or perform another AI-related function.

Learning and performance information

Alfred may collect information about your learning activity and progress, including:

  • quiz questions presented to you;
  • quiz answers and attempts;
  • quiz scores;
  • AI-generated grading and feedback;
  • flashcards generated or reviewed;
  • learning progress;
  • concept mastery;
  • strengths and areas requiring further study;
  • Session activity;
  • learning milestones;
  • usage of learning tools; and
  • other information used to personalise your learning experience.

This information may be used to adapt Alfred to your learning activity and provide personalised educational functionality.

Generated Content

Alfred may generate content based on your materials, interactions, and learning activity. This can include summaries, explanations, quizzes, flashcards, study material, concept structures, feedback, AI tutor responses, learning recommendations, and other generated educational content.

Generated Content may be stored and associated with your account, Guest session, Card, Session, or learning history.

Usage and subscription information

We may collect information about how your account uses Alfred, including:

  • AI message usage;
  • upload usage;
  • quiz and flashcard usage;
  • audio or video processing usage;
  • plan limits;
  • feature access;
  • trial usage;
  • subscription status;
  • timestamps; and
  • other usage counters required to operate our plans and enforce usage limits.

Payment information

Where paid subscriptions are available, payments may be processed through a third-party payment provider. Alfred may receive information such as your subscription plan, transaction status, payment confirmation, billing dates, renewal status, transaction identifiers, refunds or reversals, and limited billing information supplied by the payment provider.

Full payment-card information, such as your complete card number or security code, is generally handled directly by the third-party payment provider rather than stored by Alfred.

Feedback and support information

If you send Alfred feedback or contact us, we may collect:

  • the subject of your request;
  • written feedback;
  • bug reports;
  • feature suggestions;
  • ratings;
  • support messages;
  • screenshots you choose to submit;
  • information necessary to investigate the issue; and
  • account or technical information relevant to the request.

Alfred does not intend the feedback feature to accept general file attachments other than supported screenshots.

4. Device, network, fingerprinting, and anti-abuse information

Alfred uses technical and security information to protect the service and prevent misuse. We may collect or generate information such as:

  • IP address;
  • network information;
  • browser type and version;
  • operating system;
  • device type;
  • device and browser characteristics;
  • screen or display characteristics;
  • device or browser identifiers;
  • persistent first-party identifiers;
  • device fingerprints;
  • combinations of browser or device signals;
  • authentication identifiers;
  • account identifiers;
  • login activity;
  • timestamps;
  • usage patterns;
  • trial history;
  • security events; and
  • indicators of suspicious or abusive activity.

We may combine these signals to recognise devices, accounts, or usage patterns.

Why we use this information

This information may be used to:

  • protect user accounts;
  • prevent unauthorised access;
  • detect fraud;
  • prevent repeated misuse of free trials;
  • identify attempts to circumvent usage restrictions;
  • identify multiple accounts being used to evade limits;
  • investigate suspicious activity;
  • enforce our Terms and Conditions;
  • maintain the security of Alfred; and
  • protect Alfred and its users from abuse.

A shared IP address or network signal alone will not necessarily be treated as proof of abuse. For example, multiple legitimate users may share a household, school, university, workplace, mobile carrier, or public network.

Review of suspected abuse

Automated systems may identify or flag activity that appears suspicious.

Where a suspected free-trial or account-abuse case could result in a meaningful restriction on a user's account or eligibility, Alfred intends to review the relevant signals before making a final decision.

You may challenge or appeal an abuse-related decision by contacting privacy@alfred-x.xyz. We may ask for information reasonably necessary to investigate an appeal.

5. Cookies, browser storage, and similar technologies

Alfred may use cookies, local storage, authentication storage, device identifiers, fingerprinting technologies, and similar technologies. These technologies may be used to:

  • keep you signed in;
  • maintain authentication sessions;
  • enable Guest mode;
  • remember settings such as theme preferences;
  • maintain security;
  • prevent fraud and trial abuse;
  • enforce usage limits;
  • remember relevant application state;
  • measure and improve service performance;
  • diagnose errors; and
  • understand how Alfred features are used.

6. How we use your information

Providing Alfred

We process information to:

  • create and maintain accounts;
  • authenticate users;
  • provide Guest mode;
  • operate Cards and Sessions;
  • process learning materials;
  • provide AI tutoring;
  • generate quizzes and flashcards;
  • provide summaries and explanations;
  • grade supported quiz responses;
  • track mastery and learning progress;
  • maintain learning history;
  • apply account and plan limits;
  • provide subscriptions; and
  • operate Alfred generally.

Personalising your learning experience

We may use your learning materials, activity, previous interactions, quiz performance, mastery information, and Session context to adapt Alfred to you.

This may include identifying concepts you have studied, concepts you may be struggling with, previous mistakes, areas of stronger understanding, relevant material for a response, and appropriate educational content.

7. Improving and developing Alfred

We may use information collected through Alfred to develop, evaluate, test, train, and improve Alfred. This may include:

  • User Content;
  • uploaded or pasted learning material;
  • prompts;
  • AI conversations;
  • AI-generated responses;
  • quiz responses;
  • grading results;
  • flashcard interactions;
  • learning activity;
  • Generated Content;
  • feedback;
  • screenshots submitted as feedback;
  • feature usage;
  • technical information; and
  • usage patterns.

We may use this information to:

  • improve the quality of Alfred's AI systems;
  • evaluate AI responses;
  • improve educational accuracy and usefulness;
  • develop new features;
  • improve existing features;
  • improve retrieval and grounding systems;
  • train or fine-tune Alfred systems where appropriate;
  • evaluate models and prompts;
  • identify recurring errors;
  • improve safety systems;
  • improve abuse detection;
  • conduct testing; and
  • understand how users interact with Alfred.

Where reasonably practical for the relevant purpose, we may aggregate, de-identify, minimise, or pseudonymise information used for development and analysis.

Some development, support, safety, or debugging activities may require us to examine account-linked information.

Your use of Alfred does not transfer ownership of your original User Content to Alfred. Any licence granted to Alfred to process and use User Content is governed by our Terms and Conditions.

8. AI and third-party processing

Alfred relies on third-party technology and service providers to operate some parts of the Platform. These may include providers of:

  • AI models and AI infrastructure;
  • cloud hosting;
  • database services;
  • authentication;
  • storage;
  • payment processing;
  • email and communications;
  • monitoring and diagnostics;
  • analytics;
  • security; and
  • other technical infrastructure.

When an Alfred feature requires a third-party service, we may transmit the information reasonably necessary to provide that feature. For AI functionality, this may include:

  • your prompt;
  • relevant conversation context;
  • relevant excerpts of learning materials;
  • relevant summaries;
  • quiz questions or answers;
  • images, audio, or video where supported; and
  • other information necessary to fulfil the request.

We do not intentionally send payment-card details to AI providers as part of AI requests.

Third-party providers may process information in different countries and jurisdictions.

9. When we disclose personal information

Service providers

We may provide information to third parties that help us operate Alfred, subject to appropriate contractual, technical, or organisational safeguards where required.

At your direction

We may disclose information where you direct us to do so or use a feature that requires the disclosure.

Legal requirements

We may disclose information where reasonably necessary to:

  • comply with applicable law;
  • comply with a lawful court order or regulatory request;
  • establish, exercise, or defend legal rights;
  • investigate fraud or unlawful activity;
  • protect Alfred or its users; or
  • respond to a valid legal process.

Business transactions

If Alfred or Learn-Nova (Pty) Ltd is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar transaction, personal information may be transferred as part of that transaction, subject to applicable law.

Aggregated or de-identified information

We may use or disclose information that has been aggregated or de-identified so that it no longer reasonably identifies an individual.

We do not sell users' learning materials or personal information as a commercial data product.

10. Communications

We may use your contact information to send:

  • account verification messages;
  • authentication and password-reset messages;
  • security notifications;
  • important service messages;
  • changes affecting your account;
  • subscription and billing communications;
  • changes to our policies or Terms;
  • service announcements;
  • feature announcements; and
  • product updates.

Where a communication is not essential to the operation of your account, you may use the unsubscribe mechanism provided or otherwise change your communication preferences where available.

You cannot opt out of essential security, account, legal, or service communications while maintaining an active account where those communications are necessary to provide the service.

11. Children and younger users

Alfred is an educational service and may be used by younger learners.

You must be at least 12 years old to use Alfred.

If you are below the age at which you can independently consent to the processing of your personal information under the law that applies to you, you may use Alfred only where the required consent or authorisation has been provided by a parent, guardian, or other legally authorised adult.

When Alfred informs a younger user that adult consent or authorisation is required, continuing with account creation or use of the service constitutes confirmation that the required authorisation has been obtained.

Different countries and regions have different rules regarding children and digital services. A local law may impose a higher age threshold or additional requirements.

Where applicable law requires steps that cannot be satisfied through Alfred's available processes, access to some or all of the service may be restricted until the legal requirements are satisfied.

If we learn that a person under the minimum permitted age has provided personal information to Alfred without the authorisation required by applicable law, we may suspend the account and take appropriate steps regarding that information.

A parent, guardian, or other legally authorised representative may contact privacy@alfred-x.xyz regarding a younger user's personal information.

12. Legal grounds for processing

The legal grounds available to us depend on your country or region and on the specific processing activity. Where applicable, we may process information because:

  • it is necessary to provide the service you requested or perform our agreement with you;
  • it is necessary for our legitimate interests or those of another party, provided those interests are not overridden by applicable privacy rights;
  • you have provided consent;
  • processing is necessary to comply with a legal obligation;
  • processing is necessary to protect rights, safety, or security; or
  • another lawful basis recognised by applicable law applies.

Our legitimate interests may include operating and improving Alfred, protecting accounts, preventing fraud and abuse, maintaining security, understanding service performance, developing features, improving our educational and AI systems, and enforcing our agreements.

Where applicable law gives you a right to object to particular processing based on legitimate interests, you may exercise that right as described below.

13. International processing and transfers

Alfred is operated by a South African company and is available internationally.

Our service providers and technical infrastructure may be located in different countries. As a result, your personal information may be transferred to, stored in, accessed from, or processed in countries other than the country where you live.

Privacy and data-protection laws differ between jurisdictions.

Where applicable law requires safeguards for international transfers, we will take steps designed to ensure that an appropriate transfer mechanism or other lawful safeguard applies.

14. How long we retain information

We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide Alfred, maintain security, comply with law, resolve disputes, prevent abuse, and enforce our agreements.

Active accounts

Account information and associated learning data may generally be retained while your account remains active.

Account deletion

When you delete your Alfred account, personal information associated with the account will be scheduled for deletion.

We aim to remove personal information from our active systems within 30 days, subject to the exceptions described below.

Backups

Information removed from active systems may remain in secure backup systems for up to 90 days before those backup copies are overwritten or permanently removed.

Backup information is not intended to be used for ordinary business purposes after deletion.

Legal, financial, security, and anti-abuse records

Certain limited information may be retained for longer where reasonably necessary to:

  • meet legal, accounting, or tax requirements;
  • maintain records of transactions;
  • prevent fraud;
  • prevent repeated free-trial abuse;
  • protect the security of Alfred;
  • investigate misconduct;
  • resolve disputes;
  • enforce our Terms; or
  • establish, exercise, or defend legal claims.

Where possible, the information retained for these purposes will be limited to what is reasonably necessary.

15. Account deletion

You may request deletion of your Alfred account through the available account settings or by contacting us where account deletion functionality is unavailable. Account deletion may result in deletion of:

  • profile information;
  • Cards;
  • Sessions;
  • learning materials;
  • chat history;
  • quizzes;
  • flashcards;
  • mastery information;
  • generated learning content; and
  • other information associated with the account.

Deletion does not necessarily require us to delete information that we are legally entitled or required to retain, including limited security, anti-fraud, transaction, dispute, or compliance records.

Aggregated or properly de-identified information that no longer identifies you may also be retained.

16. Security

We use reasonable technical and organisational measures designed to protect personal information against:

  • unauthorised access;
  • loss;
  • misuse;
  • alteration;
  • disclosure; and
  • destruction.

Measures may include access controls, authentication safeguards, encrypted transmission, database security, monitoring, and other security controls appropriate to the nature of the information and the service.

No online service or method of electronic storage can guarantee absolute security.

If a security incident affecting personal information occurs, we will take appropriate action and provide notices where required by applicable law.

17. Your privacy rights

Your privacy rights depend on the law that applies where you live. Depending on your jurisdiction, you may have rights to:

  • know whether we process your personal information;
  • access personal information we hold about you;
  • obtain a copy of certain information;
  • correct inaccurate or incomplete information;
  • request deletion;
  • request restriction of certain processing;
  • object to certain processing;
  • withdraw consent where processing is based on consent;
  • request portability of certain information;
  • appeal certain decisions;
  • opt out of certain uses where applicable law provides that right; and
  • lodge a complaint with a privacy or data-protection regulator.

Some rights are subject to legal exceptions.

We may need to verify your identity before fulfilling certain requests in order to prevent unauthorised access to another person's information.

18. Appeals relating to fraud or trial-abuse decisions

If Alfred restricts an account, free trial, or feature because we reasonably believe the service has been abused, you may request review of that decision.

You may provide information explaining why you believe the decision was incorrect.

Alfred may review relevant account history, device signals, network information, identity information, usage activity, previous trial activity, and other relevant security information.

We will consider the available information before deciding whether to maintain or reverse the restriction.

19. Privacy laws and regulatory complaints

Alfred handles personal information in accordance with applicable privacy and data-protection laws.

Because Alfred is available globally, the particular rights and rules that apply to you may depend on where you live, your age, the type of information involved, the purpose for which information is processed, and the laws that apply to the relevant activity.

If you believe Alfred has processed your personal information unlawfully, you may have the right to complain to the privacy, data-protection, consumer-protection, or other competent authority in your country or region.

20. Third-party websites and services

Alfred may contain links to websites, resources, or services operated independently by third parties.

Their privacy practices are governed by their own policies.

This Privacy Policy does not apply to personal information you provide directly to an independent third party outside Alfred.

21. Changes to this Privacy Policy

We may update this Privacy Policy as Alfred develops, our data practices change, or applicable laws and requirements change.

The updated policy will be published at alfred-x.xyz/privacy.

Where a change materially affects how we process personal information, we may provide additional notice, such as an in-app notice, an account notification, or an email to the address associated with your account.

The effective date shown at the top of the Privacy Policy indicates when that version applies.

Where applicable law requires consent before a new form of processing begins, we will request that consent rather than relying solely on publication of an updated policy.
